Team and roles: invite people and manage who has access

The Team tab lists everyone who has access to your brand in Nexus. Open it at Settings > General > Team. An Owner or an Admin uses it to invite people, change roles and personas, and remove members.

Before you start

Only an Owner or an Admin can invite, change or remove people.

Read the team list

The header shows Team Members and a count, such as "3 members". Each row in the table shows the member, the email, the Role and the Persona.

Pending invitations sit in a box above the table. Each shows the email, the role and the persona.

A member with no persona shows a dash in the Persona column. Where the column holds a list, it reads "Select..." until you pick a persona.

INFO

Inside Shopify Admin, a note above the list says Shopify staff appear the first time each person opens Nexus. Your list can look incomplete until then. Ask a teammate to open Nexus from Shopify Admin and they appear on their own.

Roles

You can give a person one of four roles: Admin, Editor, Creative or Viewer. The invite window describes each role.

The brand Owner has a shield icon and a fixed role. The role list does not offer Owner, so you cannot assign it.

Personas

Each person has a persona. The persona picks the dashboard that Home opens for that person.

PersonaHome opens
ManagerStore overview
Ad ManagerAds overview
Email ManagerStore overview
StrategistStore overview
Creative strategistCreative overview

A member with no persona opens Store overview. See Home dashboards. Any persona other than Manager also trims the lists in the Morning Brief. See Morning Brief.

Invite people

  1. Go to Settings > General > Team.
  2. Click Invite member. Inside Shopify Admin, the button reads Invite external collaborator.
  3. In Email addresses, type one address or several. Separate addresses with commas.
  4. Choose a Role. The default is Editor.
  5. Choose a Persona. The default is Manager.
  6. Click Send invites.

Everyone in the same invite gets the same role and persona. To give people different roles, send separate invites.

If an invite fails, the window stays open and shows the error in red. Fix the address and click Send invites again.

An external collaborator is someone outside your Shopify staff, such as an agency or a consultant. They sign in with an email and a password. Do not invite your own Shopify staff. Nexus adds them when they open the app from Shopify Admin.

Accept an invitation

The invitation email links to an Accept your invitation page. The page shows the organization name, the role and the email address. What you do next depends on your account:

  • New to Nexus: type your name, set a password, and click Accept invitation.
  • You already have a Nexus account: type your current password to confirm, then click Accept invitation.
  • You are signed in as the invited person: click Accept invitation.
  • You use Google to sign in: click Continue with Google and choose the invited Google account.
  • You are signed in as someone else: click Switch account, sign in with the invited account, then open the link again.

Click Decline to refuse the invitation. Nexus makes no change to any account.

If the page says "This invitation link is invalid or has expired", ask the person who invited you to send a new invitation.

Change a role or remove someone

  1. Go to Settings > General > Team.
  2. To change a role, pick a new value in the Role list on that person's row.
  3. To change a persona, pick a new value in the Persona list on the same row.

There is no Save button. Each change applies when you pick the value.

Your own row and the Owner row

Your own row and the Owner row show the role and the persona as plain labels, not as lists. These two rows have no trash icon.

WARNING

Removing a member cannot be undone. The person loses access to the brand at once.

To remove a member, click the trash icon on the row. In the Remove member window, click Remove. To cancel an invitation, click the X on the pending invitation. Nexus does not ask you to confirm that.

Demo Mode

In Demo Mode, Nexus blocks these actions: inviting a person, cancelling an invitation, changing a role or persona, and removing a member. The message reads "Disable demo mode to manage your team".

In the public demo (you are not signed in), Nexus blocks the same actions. The message reads "This action is not available in the public demo."

Nexus is built by Omniconvert.
